Polycom VVX – Configuration

Our Auto Provisioning not only quarters the time it takes to configure supported handsets, but just as importantly we’ve optimised the templates for our network. You should only need to manually configure IP SoundPoints with firmware versions  older than version 3.3.

Device Provisioning

The “Device Provisioning” platform enables you to easily install our optimised configuration templates which importantly will also securely configure (register) the individual handset to numbers on your CloudPBX account. If you have a VVX phone, save your self a pile of time and use the device provisioning.

Setting the Provisioning URL

To direct the phone back to our provisioning platform you will first need to save the provisioning address onto the phone, preferably via its web UI.

  1. Log into the phones Web browser to apply our provisioning URI
  2. Select the Home Button on the right side of the phone.
  3. Select > Settings > 4. Status > 2. Network > 1. TCP/IP Parameters > IP (copy the IP address – eg 192.168.1.25).
  4. In your browser retype the phones IP address (eg 192.168.1.25)
  5. Go to Settings > Provisioning Server
  6. Set Server Type > HTTPS
  7. Set Server Address > https://poly.l2access.com.au
  8. SAVE

MAC address

You will need to take a copy of the phones MAC address which is the phones unique identification number.

  1. Go to Home
  2. Copy the MAC address

Take care to remove the colons from your MAC address e.g. 00:04:F2:B0:6A:8C so you end up with a number as follows: 0004F2B06A8C.

Assigning a handset in CloudPBX

Matching the phones MAC address (same as Polycom serial number) with the phone number you want associated is the final (and easiest) step in our provisioning process.

  1. Log into YourCloud customer portal | YourCloudPBX | Device Provisioning
  2. Choose Add device
  3. Copy the MAC address into the MAC address field (pls ensure you remove the colons)
  4. Choose DID from the line number selection list (supports up to 5 separate lines)
  5. Select VLAN if the phone is using a Metro Voice VLAN configured router
  6. TLS encryption: We recommend leaving TLS as default however select UDP if no encryption is required
  7. Select ADD to add the phone and MAC address to our provisioning database
  8. Restart the phone

Manual configuration

You can quickly configure a handset by supplying four simple pieces of information in 2.1 with all other steps being optional.

  1. Retrieve the handset IP address: Home (Button) > Settings >  4. Status > 2. Network > 1. TPC/IP
  2. Web UI: Enter IP address (eg 192.168.1.11) into browser
  3. Settings > Lines (select Line)

Follow instructions in Fig below

  • SIP Protocol: Enable
  • Identification: Display Name, Address (must be full DID), Label (usually same as Display Name)
  • Authentication: User ID (full DID), Password, Disable Credentials
  • SIP Server 1: phone.yourcloudtelco.com.au – Expires 180

Manually Setting a VLAN

  1. Retrieve the handset IP address: Home (Button) > Settings > 4. Status > 2. Network > 1. TPC/IP
  2. Web UI: Enter IP address (eg 192.168.1.11) into browser
  3. Settings > Network > Ethernet > VLAN
  4. Specifiy as required

Accessing Voicemail from a Polycom handset

If you have a YourCloudPBX provisioned Polycom handset Voicemails can be retrieved by selecting the “Messages” button on your handset.

  • Select Messages key
  • Select 1 “New Messages” THEN
  • 4 – previous message
  • 5 – Repeat
  • 6 – Play next message
  • 7 – Delete
  • 8 – Forward
  • 9 – SAVE

On the VVX300 Messages is a physical button adjacent the 7 key.

Changing the Handset label

By default, the provisioning system sets the Display Name, Address and phone Label with the default phone number. You can change the phone label to an Alpha name e.g. Mike, which is handy particularly for phones configured with multiple lines.

  1. Retrieve the handset IP address: Home (Button) > Settings >  4. Status > 2. Network > 1. TPC/IP
  2. Web UI: Enter IP address (eg 192.168.1.11) into browser
  3. Settings > Lines (select Line)
  4. Identification: change Label (see Fig 1 below)

Extension dialling

Set your preferred a line extension (eg reduce 61289707504 to 504) allowing coworkers to call you using your preferred three or four digit number.

Presence and BLF (Busy Lamp field)

  • Log into Customer CloudPBX
  • Select YourCloudPBX > Advanced > Presence BLF –> Enable
  • Click Save to update your settings

Enable BLF on the handset (phone)

  1. Get phones IP address: Settings > 4. Status > 2. Network > 1. TCP / IP…
  2. Enter IP address into Browser
  3. Log onto phone (UserName and Password)
  4. Preferences > Presence >> Enable

Enable Buddy on handset

  1. Settings > Directories > Contacts Directory > 1. Add (+)
  2. First Name, Last Name (optional), Contact (requires full number including country / area code)
  3. Protocol –> SIP (only for VVX500, 600)
  4. Watch Buddy –> Enable
  5. SAVE
  6. Select contact —> Add to favourites (if you want the contact to appear on the home screen of your keypad).

Handset Volume

You may have noticed that the Polycom handset volume is a little low. But secondly, while you can increase volume using the handset volume button, each time you pick up the phone for another call it annoyingly resets to the factory default. The problem is US telecommunications regs require all US vendors to reset handset volumes to the defaults at the end of each call.

If using you are using our Polycom provisioning we have disabled the reset function to persist your handset volume.

Upgrading Firmware

If you wish to leverage our Polycom provisioning system with legacy IP phones (firmware 3.3.xx or older) you will first need to upgrade the phones firmware as the older Polycoms don’t support web-based auto-provisioning. Secondly, depending on the model, you may have to complete a two step firmware upgrade to achieve the minimum 4.1.1 software supporting our web-based auto-provisioning.

  1. Log into the phones web browser
  2. Standard Password: 456
  3. Utilities | Software Upgrade
  4. Check for Updates
  5. Select the latest update from selection list
  6. Install

VVX Bluetooth headsets

Within the Polycom VVX family, only the VVX 600 natively supports Bluetooth.

  1. Enable Bluetooth: Menu > Settings > 2. Advanced (PW 456) > 1. Administrative Settings > 7. Handsfree Settings > 1. Handsfree Mode >> select Enable
  2. Enable Radio: Menu > Settings > 1. Basic Settings > 11. Bluetooth Settings >> Enable Radio ON
  3. Headset: Place your headset in in pairing.
  4. To Pair: Press the Bluetooth symbol (see screenshot below) to take you back to Bluetooth Settings.
  5. Select Manage BT Headset – Select Scan then select the required headset.

Factory Reset

Reset from handset

  1. Log into the phones Web browser (eg 192.168.1.45)
  2. Select the Home Button on the right side of the phone.
  3. Scroll across to Settings menu:
    • 2. Advanced | Enter Password* (default 456)
    • 1. Administration Settings
    • 5. Reset to Defaults
    • 5. Reset To Factory

Reset from Web UI

  1. Log into the phones Web browser (eg 192.168.1.45)
  2. Settings | 2. Advanced (Enter Password 456)| 1. Admin Settings | 5. Reset to Defaults | 5. Reset to factory
